Building a PIM Platform from Scratch at Capsa Healthcare

Capsa Healthcare sells hundreds of products through a network of dealers and resellers across the US and internationally. Product information was scattered — specs in spreadsheets, marketing copy in various document versions, pricing held by different people in different formats. Dealer websites carried outdated content. New staff took too long to get up to speed. The sales team spent time chasing product managers for information instead of talking to customers.
No budget existed for an enterprise PIM tool. Instead, a content taxonomy was designed from scratch — defining how products would be structured, categorised and described — and a platform built using Airtable, Stacker and Zapier/Make. The result was a single source of truth for all product information, with automated publishing to partner channels and a clean interface accessible to non-technical users across sales, marketing and customer service.
The platform is now adopted organisation-wide, covering 15,000 SKUs. Dealer and reseller partners receive accurate product content exports in their required formats — eliminating the manual effort previously required and saving several hours of work per week. Staff onboarding is 1–2 weeks faster. The sales team has what it needs without involving a product manager.
